How data syncs from Riverside to HubSpot

« To HubSpot integration: Overview

Learn how Riverside data is stored and reflected in HubSpot, including event details, registration data, and activity and engagement data.

  • If the contact already exists in HubSpot (based on the email address), the data will be synced to the existing contact record rather than creating a duplicate.

Marketing events

Each Riverside webinar, live or on demand, appears in HubSpot as its own marketing event. The event is named with the webinar title and date.

  • The marketing event includes the webinar description, organizer, type (live or on demand), and registration page URL. Live webinars also include a start and end time.
  • HubSpot counts registrations, cancellations, attendees, and no-shows for each event automatically, based on each registrant's status in Riverside:
    • Registrants are counted as registered.
    • Registrants who attend live or watch on demand are counted as attended.
    • Registrants who aren't approved or are removed are counted as cancelled.
    • Registrants who don't attend are counted as no-shows.
  • For each attendee, HubSpot stores when they joined and left the webinar.
  • When you edit a webinar's title, time, or description in Riverside, the marketing event updates. If you delete the webinar, the marketing event is marked as cancelled.
  • Each session in a recurring webinar series has its own marketing event.

Timeline events

Riverside adds an event to a contact's timeline in HubSpot for each webinar interaction. Timeline events are never overwritten, so the contact's full webinar history stays on their record. Find them in the contact's Activities tab, labeled Riverside.

  • Registered: added when the contact registers from any source, including a HubSpot workflow. Includes the webinar name, session date, registration source, and join link.
  • Attended live: added after the final post-event sync. Includes minutes attended, attendance percentage, number of questions asked, and number of polls answered.
  • Did not attend: added after the final post-event sync for registrants who didn't join.
  • Watched on demand: added when the contact watches an on-demand webinar or replay. Includes watch percentage, watch time, whether they finished, and when they last watched.

Each timeline event includes the webinar ID, so you can filter HubSpot lists and workflows by a specific webinar.

Event details

  • Riverside Event Name is added as a custom contact property titled Last Event Name (Riverside).
    • If a contact participates in multiple events, only the most recent event name will be displayed.
  • Event Date and Time details are added as a custom contact property titled Last Event Time (Riverside)
    • Every time a contact signs up for a new event, the Last Event Name (Riverside) and Last Event Time (Riverside) contact properties will change in HubSpot.

Registration data

  • The First Name, Last Name, Country, Email, and Phone Number fields in Riverside are synced to their corresponding default contact properties in HubSpot.
  • Riverside Text and Checkbox fields are added as custom contact properties in HubSpot.
  • UTM information captured from the registration URL is recorded in dedicated custom contact properties in HubSpot:
    • UTM Campaign (Riverside)
    • UTM Content (Riverside)
    • UTM Medium (Riverside)
    • UTM Source (Riverside)
    • UTM Term (Riverside)
  • To send custom registration fields or UTM fields to existing HubSpot fields instead, update your field mapping.

Activity and Engagement Data

  • Contact's Riverside activity is recorded in a custom contact property titled Last Status (Riverside).
    • The property includes the values: approved, not approved, attended, or did not attend.
  • Questions that an attendee asks via Riverside Q&A are recorded in a custom contact property titled Last Event Questions (Riverside).
    • If multiple questions are submitted, they appear in reverse order, with the most recent question listed first.
  • Poll responses are recorded as custom contact properties in HubSpot, one property per poll question. Each property reflects that contact's individual answer.
  • Watch time for live and on-demand webinars is recorded in the custom contact properties Watch % (Riverside), Total Watch Time (Riverside), and Last Watched At (Riverside). These properties show the most recent webinar the contact took part in.

Icon.svg Good to know

  • Marketing events and timeline events keep a record of every webinar. Custom contact properties ending in (Riverside) show only the most recent webinar, so a newer webinar overwrites them.

  • If a new registration uses the same email address as an existing HubSpot contact, the First Name and Last Name on that contact update to match the new registration.
  • Changes you make to a contact in HubSpot don't update your registrant or attendee data in Riverside. To register HubSpot contacts for a Riverside webinar, use the Register for a Riverside webinar workflow action.

  • Marketing events and timeline events need the latest HubSpot connection. If a warning icon appears next to HubSpot in your integration settings, or Reconnect to upgrade appears under HubSpot in a webinar's Sync to menu, reconnect HubSpot.
