Schedule a recording session to invite participants to your studio at a specific date and time.

Step by step

Schedule a session
- Log in to your Riverside account.
- Navigate to the relevant studio.
- From the side bar on the left, click Planner.
- On the date you want to schedule the sesion, click the
Schedule icon in the top right corner.
- Click Session from the dropdown.
- Add Session name.
- Click the
calendar icon and pick a day.
- Click the times displayed to change the stop and start time.
- Under the date and time, click the timezone to change it.
If you do not change this setting, it defaults to the host's local timezone. - (optional) To schedule a recurring session, click the Does not repeat dropdown and select a repeat frequency.
- Choose a predefined cadence (daily, weekly, biweekly, or monthly based on your selected date) or select Custom to set your own interval.
- Under Ends, select After and set the number of sessions, or select On and pick an end date.
- Click Done.
- Add a description for the event (optional).
- Invite guests, producers, or audience members:
- Enter email addresses of up to 10 guests.
- Click Invite via link and click Copy link to share with Guests, Audience members, or Producers.
- Toggle on Play pre-recorded content and click +Choose file to add content to the studio so it will be ready to play during the session.
- Click Create session.
Invited participants receive a personalized email invitation containing all the session details and a link to the studio. The recordings created during the scheduled session will automatically be saved as a new project.

Edit a scheduled session
After creating a scheduled session, you can edit your event to reschedule it, add additional participants, and resend invitations to participants.
- Navigate to the relevant studio.
- From the side bar on the left, click Planner.
- On the calendar, find the scheduled session and click it to open the event summary.
- In the bottom right corner of the window, click Edit.
- Follow the steps to reschedule, add additional participants, and resend invitations.
Reschedule a session
1. Adjust the title, date, time, or timezone.
2. Click Update session.
Your guests, producer, and audience members receive an email notifying them that the date or time of the event has been updated. The google calendar invite also updates.Add additional participants
1. Enter email addresses of up to 10 guests or audience members.
Or, click Invite via link and click Copy link to share with Guests, Audience members, or Producers.
2. Click Update session.Resend an invitation
- Next to the relevant participant's email, click on the role to open up the dropdown.
- Click Remove this invite.
- Enter participant's email.
- Click Update session.

Cancel a scheduled session
Important:
If you cancel a session, your participants will not receive another email with the updated details. Likewise, the Google Calendar event will not be updated.- Navigate to the relevant studio.
- From the side bar on the left, click Planner.
- On the calendar, find the scheduled session and click it to open the event summary.
- In the top right corner of the window, click ••• [the three dots].
- Click Remove.
The scheduled session is canceled and removed from the project folder.
When you cancel a session or remove a participant from the invite list, the link to the studio included in the original email invite becomes invalid and does not open to your studio.

You can schedule multiple sessions per studio based on your Riverside plan:
Pro, Live, Webinar, and Business plans - schedule an unlimited amount of sessions per studio and 1 session per project at a time.
- Free plan - schedule up to 3 sessions per studio and 1 session per project at a time.
- You are blocked from scheduling a session that takes place during the same time slot as an existing session in the same studio. In these cases, you can either schedule the session in a different studio, adjust the duration of the existing session, or delete the existing session.
- Scheduling a session does not create a project. A project is created automatically once the recording finishes.
- You can schedule up to 50 sessions per recurring event.
- For recurring sessions, invited guests and producers receive a single invite email covering all sessions, which appears as a recurring entry in their calendar.
- After creating a recurring session, you can edit a single session or all sessions at once.
